Company DescriptionReal Estate FirmJob DescriptionBENEFITS ADMINISTRATION COORDINATORReal Estate Firm located in midtown is seeking a hands-on, service oriented Benefits Administration Coordinator to handle ongoing administration of all aspects of the employee benefit programs, including health and welfare and retirement defined contribution plans as well as responsibility for regulatory reporting and compliance. This individual will be responsible for the administration of all benefit programs, including enrollments, billing reconciliation, plan and contract interpretation and compliance with federal and state mandates. The Benefits Administration Coordinator will coordinate the annual open enrollment process and conduct weekly orientations for new hires to answer benefits related questions. Ideal candidates must have 3-5+ years of benefits administration experience, Bachelor s degree, and must demonstrate a solid understanding of benefit plan principles, HealthCare Reform PPACA, ARRA, ERISA, HIPAA, COBRA, FMLA, ADA and other federal/state regulations related to benefits, including state requirements for benefits administration in NY, NJ, CT and FL.Key AccountabilitiesBenefit Plan Compliance Responsible for preparation, review and compilation of necessary documentation for qualified plans' IRS and ERISA-mandated submissions and employee communications, including Form 5500, Summary Annual Reports (SARs), Summary Plan Descriptions (SPDs) and annual audits of 401(k) and Workers Compensation. Work with benefits broker to ensure compliance with all pertinent federal and local regulations, filing and compliance requirements affecting employee benefit programs including ERISA, COBRA< FMLA, ADA, Section 125, Worker s Compensation, Medicare, Social Security and DOL requirements. Work closely with payroll department to coordinate the information required for non-discrimination testing, process of payroll deduction changes and QMCSO requests. Establish metrics to evaluate program effectiveness and utilization. Work closely with benefits broker to analyze costs, trends, identify key drivers of costs, provide recommendations to best manage the plans and execute necessary changes.Benefit Plan Administration Partner with relevant vendors to administer benefit programs, including but not limited to the maintenance of medical, dental, disability, life insurance, FMLA, flexible spending account COBRA. Responsibilities will include: funding and reconciling vendor invoices, verifying eligibility counts, confirming costs/benefit levels, drafting employee letters, tracking response/authorizations/premium billings and benefit periods. Assist with developing, managing, and implementing processes associated with the administration of employee benefits. Oversee and coordinate the process of new hire benefit orientations and enrollments. Serve as the designated contact for employees with issues related to benefit eligibility and coverage. Interacts with vendors to resolve administrative issues. Administering and managing leaves of absence in accordance with Company for all employee leaves of absence including Family and Medical Leave, military and personal medical and other leaves as defined. Partner with vendor to manage the administration of employee retirement plans. Act as liaison with retirement plan record keeper/trustee, external auditors and legal counsel. Maintain files of correspondence, reports and forms. Work closely with Payroll to ensure proper deduction and funding of all employee and employer retirement plan contributions.Wellness Administration Suggest, implement, and manage Employee Wellness Program. Work closely with Wellness team on items such as employee communication, work with vendors and other wellness resources to develop or sponsor webinars, onsite wellness seminars, coordinate and administer company sponsored wellness events such as Employee Health Fairs, etc.Communication Counsel employees clearly and effectively face to face or in writing and answer questions regarding benefit programs and policies. Provide formal benefits elated employee communication regularly, organize and coordinate benefit information programs. Develop written materials to describe benefits programs and election options. Maintain and update the benefit section on Company Intranet site as needed.Key competencies At least 3-5 years of benefits administration experience required, with a Bachelor's degree. Candidate must demonstrate a solid understanding of benefit plan principles, HealthCare Reform PPACA, ARRA, ERISA, HIPAA, COBRA, FMLA, ADA and other federal/state regulations related to benefits. The ideal candidate will be able to communicate effectively and present benefit information and plan details at all levels. This includes writing reports and business correspondence. Proficient in Microsoft Office Suite including Word and Excel. Familiarity with HRIS and carrier systems. Excellent customer service skills required. The ideal candidate is approachable and comfortable interacting with all levels of our employee population as well as senior level executives. Candidate must be detail oriented, organized, and have mathematical aptitude. Ability to multi-task, prioritize in a timely manner, and maintain a high level of confidentiality for employee data.Additional InformationThe salary is 60K-70K plus year end bonusJob Location
